Job Opening: Operations Associate

Location: Remote, Ontario preferred
Type: Full-time (37.5 hrs per week)
Rate: $60,000-$80,000, depending on experience

Key Responsibilities

This is a new role for our organization, due to significant team growth over the last year, and we look forward to you bringing your skills and experience to our team. Reporting to the Operations Director, the Operations Associate will be involved in all aspects of operations of the organization. In addition, this position will spend approximately 25% of their time providing direct administrative support to the President & CEO. 

Below, we provide a list of the key responsibilities of the role. As this is a new position at Clean Prosperity, we hope the successful candidate will help to develop and refine the role responsibilities, so the listed responsibilities will evolve over time. 

  • Finance: liaise with external accounting firm, process invoices for accounts payable processing, coordinate employee expense claims;
  • Contract management: facilitate contract creation and signing, organize file storage;
  • Board management: schedule meetings, take minutes, facilitate document signatures and record keeping;
  • Event planning: assist in organizing multi-day staff retreats and other event support;
  • Human resources: coordinate employee onboarding, maintain HR policy manual, provide recruiting support;
  • Tech and systems: manage users and accounts for Google Workspace, Slack, and other apps;
  • Executive support: assist with calendar management, expense tracking, travel booking, inbox management; and
  • Organization-wide support: from time to time, assist other departments as needed.

  • Bachelor’s degree in business administration or commerce;
  • 5+ years experience in an office environment (virtual or in-person);
  • Great people skills — this is a role that supports each individual in our organization;
  • Extremely organized and detailed-oriented;
  • Experience communicating with and supporting senior executives; 
  • Basic bookkeeping experience;
  • Professional and fluent written and verbal communication (English);
  • Proficient with Google Workspace applications; 
  • Experience coordinating events and meetings;
  • Non-profit experience; and
  • Legally eligible to work in Canada.

Location, hours, and culture

We are a small team who support each other’s work, every day. Our team comes from a very diverse range of backgrounds and experiences, and we bring those perspectives to every effort, making all our work better in the process. 

We have staff across multiple timezones, all working remotely. We will provide reimbursement for some office setup expenses. We would prefer that our Operations Associate be located in Ontario, in order to be able to work closely (and in the same timezone) as our Operations Director and President & CEO. We expect that you will work a standard 37.5 hour per week schedule matching the Eastern timezone, with specifics to be agreed on and room for flexibility. 

Even though we’re remote, you will interact regularly with the team. We hold weekly virtual staff meetings, virtual hangouts, and in-person retreats twice a year, for which you may be required to travel.
